NOTICE IS HEREBY GIVEN that a meeting of Eccleshall Parish Council Events Committee will be held on Wednesday 6th September 2023 at 7pm, Eccleshall Community Centre, preceding the meeting of the Planning committee.
1. Apologies

3. To approve the minutes of the meeting held on Wednesday, May 3rd 2023
4. To review the Coronation picnic event and receive the final financial summary
5. To discuss any upcoming events for consideration

ECCLESHALL PARISH COUNCIL – EVENTS COMMITTEE MINUTES – Sept 6th 2023
A meeting of the Events Committee was held on Wednesday Sept 6th 2023 at Eccleshall Community Centre at 7pm, preceding the Planning committee meeting.
Present were: –
Councillor C. Ryan-Bloor (Chairman) Councillor G. Dale
Councillor R. Taylor Councillor D. Hall
Mrs S.J. Worden (Clerk)
No members of the public
1). Apologies
Apologies were received from Cllr. Hill.
2). Election of Chairman and Vice-Chairman:
There were no nominations for the position of Chairman, and this was agreed to defer until the next meeting.
Cllr. Ryan-Bloor was nominated and duly elected to the position of Vice-Chairnan. In the absence of a Chairman, she took the Chair for the meeting.
3). To approve the minutes of the Events Committee held on 3rd May, 2023:
The minutes, which had been previously circulated, were agreed and signed.
4). Parish Council Coronation Picnic 8th May 2023:
- Review of event. It was agreed that despite the weather, the picnic was a successful event. Feedback noted that it was very family oriented and provided entertainment for all ages, which complemented the Street Party.
- Financial Summary:
The financial summary was received and accepted. Total expenditure was recorded at £5,696 for the picnic and a grant towards the street party. £1,800 of grants were received towards the costs, leaving £1,103 unspent within the budget.
5). To discuss any upcoming events for consideration
The committee considered the email correspondence from Pageantmaster Bruno Peek regarding lighting of the beacon for the 80th VE Day celebrations on the 6th June 2024. It was agreed to look into the feasibility of this event and the potential to add additional entertainment.
The committee has an outstanding budget allocation of £3,000 for delivery of other events within the current financial year. Options for Christmas and post-Christmas events were discussed. It was agreed to form a working group consisting of all committee members to collate and progress potential activities and dates. Plans will be brought back to the next committee meeting, which was l brought forward to November.

There was no correspondence received.
7). Items for next meeting
Any items can be forwarded to the Clerk.
8). Date of next meeting:-
The next meeting will be held on Wednesday November 8th, following a meeting of the planning committee.
There being no further business, the Chairman declared the meeting closed at 7.30pm.
