NOTICE IS HEREBY GIVEN that a meeting of Eccleshall Parish Council Events Committee will be held on Wednesday 6th March 2024, Eccleshall Community Centre, following the meeting of the Planning committee.
1. Apologies
2. To approve the minutes of the meeting held on Wednesday, November 8th 2023
3. To receive any working party meeting notes and consider proposals arising for future events
4. To consider the viability of holding a beacon lighting event to celebrate the 80th Anniversary of the D-Day landings on the 6th June 2024.
5. To consider costs for supply of marketing materials for public events.

ECCLESHALL PARISH COUNCIL – EVENTS COMMITTEE MINUTES – March 6th 2024
A meeting of the Events Committee was held on Wednesday March 6th 2024 at Eccleshall Community Centre at 7pm, preceding the Planning Committee meeting.
Present were: –

No members of the public

1). Apologies
Apologies were received from Cllr. D. Hill.
2). To approve the minutes of the Events Committee held on 8th November 2023:
The minutes, which had been previously circulated, were agreed and signed.
3). To receive any working party meeting notes and consider proposals arising for events:
- There were no meeting notes or proposals to receive at this time.
4). To consider the viability of holding a beacon lighting event to celebrate the 80th Anniversary of the D-Day landings on the 6th June 2024:
It was noted that councils were taking differing approaches to the event. Some areas with direct links to the landings were undertaking large events, but a number of councils, including the Borough Council, were considering it as a commemorative event rather than celebratory, and were holding church services to reflect this. Holy Trinity will be incorporating a commemoration into its service on Sunday 9th June.
It was agreed that the 80th anniversary of VE Day in 2025 was a more appropriate date for a celebration, and the committee will discuss this further in due course.
Members also noted that a celebratory event for the opening of Beech Road would be important, on completion of the project.
5). To consider costs for supply of marketing materials for public events.
The Clerk had provided members with a document with research into indicative costs for marquees, banners and tablecloths. There was a wide margin of costs in marquees dependent on the build structure and intended purpose, and it was difficult to judge which would be the best option should the council wish to pursue this. It was agreed that a working party consisting of Councillors Jones, Perren and Gosling would undertake further research into options by liaising with local groups who have gazebos to assess. The group will also consider when and where it would be used, to ensure that if purchased, it would have enough use to justify the outlay.

The next meeting will be held on Wednesday May 1st, following a meeting of the planning committee.
There being no further business, the Chairman declared the meeting closed at 7.30pm.
