EVENTS COMMITTEE AGENDA
NOTICE IS HEREBY GIVEN that a meeting of Eccleshall Parish Council Events Committee will be held on Wednesday 4th September 2024, Eccleshall Community Centre, at 7pm, preceding the meeting of the Planning committee.
1. Apologies
2. To approve the minutes of the meeting held on Wednesday, May 1st 2024
3. Working Group Feedback: to receive any feedback with regards to research into local groups use of gazebos and other public event marketing materials to determine recommended suppliers and if there is enough benefit for the cost outlay
4. Events:
- To consider and agree a theme/decorations, budget and who will lead/decorate the Christmas tree festival entry
- To consider an event to celebrate the 80th anniversary of VE Day – 8th May 2025. https://www.veday80.org.uk/
- To receive feedback regarding potential for Christmas event and agree any actions arising

ECCLESHALL PARISH COUNCIL – EVENTS COMMITTEE MINUTES – September 4th 2024
A meeting of the Events Committee was held on Wednesday September 4th 2024 at Eccleshall Community Centre at 7.00pm, preceding the Planning Committee meeting.
Present were: –

1). Apologies
There were no apologies to receive.
2). Election of the Chair and Vice- Chair:
Councillor P. Jones took the Chair and requested nominations for Chairman of the Committee. Councillor Jones was nominated and re-elected as Chair for the ensuing year.
Councillor Jones requested nominations for Vice-Chair of the committee and Councillor D. Hill was duly elected.
3). To approve the minutes of the Events Committee held on 1st May 2024:
The minutes, which had been previously circulated, were agreed and signed.
4). To receive any feedback with regards to research into local groups use of gazebos and other public event marketing materials to determine recommended suppliers and if there is enough benefit for the cost outlay
- The group decided not to proceed with this at present but will review should there be an event that would benefit from the purchase of the materials.
5). New Events:
Christmas Tree Festival:
It was resolved to purchase and decorate a tree for the Holy Trinity Christmas Tree Festival. The theme will be pictorial decorations representing past and present activities and projects that the parish council has been involved in. Photographs can be taken and made into decorations for the tree, numbered with a printed key to provide more information about each image. Cllrs. Hill and Feneysey will be leading the project to produce the decorations, with the support of the Clerk to provide materials and additional festive decorations. The clerk will arrange the tree booking. It was also suggested that members could also attend the festival to represent the council and answer any questions.
80th anniversary of VE Day – 8th May 2025
Members considered the correspondence received by Pageantmaster Bruno Peek in relation to holding a beacon lighting ceremony to celebrate the 80th anniversary of VE Day, which falls on Thursday 8th May 2025. Members were in favour of this action and a working group consisting of Cllrs. Hill, Feneysey, Perren, Dale and Gosling will convene to discuss and progress a proposal to bring back to the committee. Cllr. Hill will arrange a meeting date. Cllr. Taylor will find out if a venue is available to hold the event.
Consideration of potential for a Christmas event
As the council will be participating in the tree festival, supporting the Carols Around the Tree on the 23rd December and working on a VE Day anniversary proposal, no further events were considered necessary at this time.

7). Items for next meeting
Any other items can be forwarded to the Clerk.
8). Date of next meeting:-
The next meeting will be held on Wednesday November 6th, following a meeting of the planning committee.
There being no further business, the Chairman declared the meeting closed at 7.30pm
