EVENTS COMMITTEE AGENDA
NOTICE IS HEREBY GIVEN that a meeting of Eccleshall Parish Council Events Committee will be held on Wednesday 6th May 2026, Eccleshall Community Centre, following the meeting of the Planning committee.
1. Apologies
2. To approve the minutes of the meeting held on Wednesday, March 4th 2026
3. Events:
- To consider and approve proposal for a Country and Western evening, to include:
- Confirmation of the date, provisionally booked for Saturday 19th September
- Event outline – times, content, catering, entertainment providers, ticket costs, marketing etc.
- Budget allocation
- To agree a working group to progress event arrangements and plan a meeting date
- To agree the sponsorship amount for participation in the Eagle installation as part of Holy Trinity Arts Festival (minimum payment £15)
- To receive any feedback on the March Music Festival funded by the High Street Boost grant
4. Correspondence:-
- There was no correspondence received by the date the agenda was issued

6. To confirm the date of next meeting – 2nd September 2026 at 7pm, prior to a meeting of the Planning committee.

ECCLESHALL PARISH COUNCIL – EVENTS COMMITTEE MINUTES – May 6th 2026
DRAFT
A meeting of the Events Committee was held on Wednesday May 6th 2026 at Eccleshall Community Centre at 8.05pm, following the Planning Committee meeting.
Present were: –

Councillor M. Gosling (until 8.40pm)

No members of the public
1). Apologies
No apologies were received.
2). To approve the minutes of the Events Committee held on 4th March 2026:
The minutes, which had been previously circulated, were agreed and signed.
3). Events:
To consider a proposal for a Country and Western evening:
- Outline details of the event were agreed as follows:
- Eccleshall Community Centre – booked for Saturday 19th September 2026.
- 30pm doors open for an 8pm start, finish at 11pm.
- Capacity will be between 80-100 attendees, depending on entertainment and required room layout.
- Bring your own drinks and nibbles.
- Entry price to cover majority of costs, including entertainment (to be confirmed) and provision of hot food such at pulled pork baps, or burgers/hotdogs (plus vegetarian option). Costs to be confirmed.
- Tickets to be sold on a specific date outside the library, any not sold can be available from the library in normal opening hours.
- Marketing to include social media campaign, posters in notice boards and other public spaces (ask pubs to display), plus a save the date advert in the Parish summer newsletter.
- It was resolved to form a working group to progress this event and bring a final proposal, budget and costs for approval to the next Events meeting. The working group membership is Cllrs. Hill, Feneysey, Perren and Taylor.
- Actions agreed and to be collated for discussion at the working group meeting (Cllr. Feneysey to arrange a date):
- Hill to provide costs for Perry’s to supply catering and options available.
- All working group members to research available entertainment options, costs and availability for consideration.
- Budget to be drafted for approval (pending catering and entertainment options). It is planned to cover most costs from ticket sales.
- The Clerk will research room decorations, costs and ‘selfie booth’ setup.
(Cllr. Gosling left the meeting at this point).
Sponsorship payment for participation in the Eagle installation as part of Holy Trinity Arts Festival:
- It was resolved to approve a sponsorship of £25 for the Eagle installation. Cllr. Feneysey has last year’s eagle which will be recycled and newly decorated for this year. The return deadline is the 8th
March Music Festival Feedback:
- Whilst there has been no formal feedback, the event was very popular and well attended. It is still hoped that the newly formed community group are arranging a street festival for 2027. It is not known if there will be any future High Street Boost funding for distribution, but if so, it is expected to have the usual caveat to be spend by the end of the financial year it is received in.

Items can be forwarded to the Clerk.
6). Date of next meeting:-
The next meeting will be held on Wednesday 1st July 2026, following a meeting of the Highways and Transport Committee.
There being no further business, the Chairman declared the meeting closed at 9pm.
